Committee roles and help

We need your help!

 

The club is run by members, who volunteer and give up their time to help make the club run smoothly and help keep costs down. If everyone contributes a little, it helps enormously, and doesn’t put the workload on an individual.

 

We currently have two vacancies on the committee, and we are looking for people to lead these areas and join the committee. By taking up these roles it means taking ownership of a role and also helping steer the club on all other activities/attend committee meetings to vote on all areas.

 

The current vacancies are for the Club Secretary and the Off Water Events. The details are below on what the roles entail. If you are interested, please contact me on 07775891024 or email chair@richmondbridgeboatclub.com.

 

We are also looking for people to support other areas on the committee, so there is a team of people helping, and not just one person. You would not be on the committee by helping in these areas but would help support and run the club. If you are interested in supporting a role in the following areas, please let me know.

 

Other Areas

Communications (inc. website etc), membership co-ordination, bosun team, on-water events, training, member liaison, booking/rowing co-ordination, health & safety.

 

 

Secretary position Overview

The Member Secretary acts as the administrative and organisational link in a committee, ensuring smooth operations, compliance, and effective communication. Key responsibilities include preparing agendas with the chair, taking accurate minutes, maintaining records, and following up on action points, acting as the primary point of contact for the committee. 

 

Key Responsibilities of a Member Secretary:

  • Meeting Management: Organising, scheduling, and preparing details for meetings.

  • Agenda Preparation: Drafting agendas with the Chair and gathering necessary papers.

  • Documentation:

 Recording, producing, and distributing accurate minutes, reports, and correspondence.

  • Advisory Role: Familiarising themselves with the committee's terms of reference

  • Communication: Acting as the main link between committee members and external parties, keeping members informed of updates.

  • Action Tracking: Recording and following up on decisions (action points) to ensure completion.

Key Skills for a Secretary:

  • Organisation: Ability to manage multiple tasks and maintain orderly records.

  • Communication: Strong written and verbal communication skills.

  • Attention to Detail: Meticulous in producing accurate minutes and documentation.

  • Confidentiality: Maintaining discretion regarding sensitive committee matters

 

Off Water Events role

The event organiser handles the logistical planning, execution, and oversight of an event, acting as the main point of contact. Key duties include managing stock/orders, setting up the club, managing other volunteers, ensuring safety compliance, and overseeing on-site execution (with team support)

 

Core Responsibilities

  • Planning & Logistics: Creating event timelines, place orders for stock and co-ordinate the event

  • Budgeting & Financial Management: having a budget to work to

  • Compliance & Safety: Conducting risk assessments

  • Communication: Acting as the central point of contact for the committee, members, and external stakeholders.

  • On-site Management: Overseeing the event on the day, managing setup/breakdown, and handling issues (not every event, as we will have a team)

Committee-Specific Duties

  • Reporting: Updating the committee on progress, risks, and budget status.

  • Post-Event Evaluation: Analysing the event’s success, gathering feedback, and thanking suppliers/helpers
